Members & invitations

Who belongs to the organisation, with which role, and how to invite more people.

This is where you manage who is part of the organisation, what each person can do, and which invitations are still pending.

Organisation roles

Every member holds one of these three roles:

RoleWhat they can do
ownerEverything, including deleting the organisation
adminManage members, invitations and all settings
memberWork with knowledge bases and run queries

The entire Settings section — this screen included — is only visible to owner and admin. A member can create knowledge bases, upload documents, search and ask, but does not see the organisation's settings.

The two "admins" that are not the same

There is a second permission axis, independent of this one: the platform role, which administers the whole installation and grants access to the Administration section with every tenant and user.

They share the word admin but have nothing to do with each other. The same person can be a member of their organisation and a platform administrator at the same time, or the other way round. If you see Administration in the sidebar it is because of the platform role, not your role here.

Inviting someone

You invite by email, choosing the role they will join with. The invitation arrives as a link and expires after 24 hours.

It does not matter whether the person has an account: if they do not, the link takes them to create one and they land straight in your organisation.

Until accepted, invitations show up in the pending list and you can cancel them. If one expires, just invite again.

Changing someone's role or removing them

On each member you can change their role or remove them from the organisation.

Removing someone withdraws their access but deletes nothing they created: their knowledge bases and documents belong to the organisation and stay there.

Your own invitations

If you have been invited to another organisation and have not answered yet, a card appears with those invitations and the accept or reject actions. It is an in-app alternative to the email link: it does the same thing.

The card only shows when you have a pending invitation; otherwise it takes no space.
